1.GENERAL GUIDELINES |
1.1. Terms of Participation |
Application Forms should be filled and submitted to ZITF
accompanied by 50% of the total space rental.
|
1.2.
The Venue |
There are 5 exhibition halls with a total area of 4,500m2
on the Fair grounds. The load baring capacity of the exhibition
surface in all halls is sufficient for all types exhibits
and heavy machinery. The entrance doors in each of the halls
permit large exhibits to be brought in and out without difficulty.
The
design of the halls include natural air-conditioning. The
technical connections necessary for the exhibitors such
as power and telephone can be taken to each stand.
The
fair ground is supplied with electricity (230-240V, 3-phase,
50 Hz 400amps) from sub-stations and the capacity is sufficient
for the highest constant load.
The ZITF ground is treated as a bonded warehouse for the
purpose of goods coming for exhibitions. They can be marked
RIB Ndola. |
Rental
Fees applicable to:
i.
Foreign participants
US$ 55 per sq mt for closed pavilion
US $35 per sq mt for outdoor
ii. Local participants

1.3. Mode
of Payment |
The cheque should be made payable to Zambia International
Trade Fair
|
1.4.
Withdrawl. |
For any exhibitor wishing to withdraw from participation,
the following conditions will apply.
Monies paid to ZITF in respect of space rental and other
charges regarding the exhibition, may be refunded as follows:
i.
Application received not later than 60 days before
the opening of the exhibition: 75% of the amount
involved will be re-funded.
ii. Application received 30 to 60 days before
the opening of the exhibition: 50% of the amount
involved will be re-funded.
iii. No application for refund will be allowed
by ZITF if received later than 30 days before
the opening of the exhibition.

In
the event of exhibition not taking place for any reason,
except the willful wrongful act or omission of the organizers,
the exhibitor shall be entitled to a refund of the participation
fees paid.

2. REGULATIONS
ON PARTICIPATION APPLICATION PROCEDURES |

2.1. All applications should
reach the General Manager by 30th March each year.
2.2. The Management of the
Fair reserves the right to accept or reject any application.
2.3. All successful applicants
should pay for the space/stands in full by 30th April each
year.
2.4. Monies paid to ZITF in
respect of space rental and other charges regarding the
exhibition, may be refunded as follows:
-Application
received not later than 60days before the opening
the exhibition: 75% of the amount involved will be
refunded.
-Applications received
between 30 to 60 days before the opening of the exhibition:
50%of the amount involved will be refunded
-No application
for refund will be allowed by ZITF if received later
than 30 days before the exhibition opens
-In the event of
exhibition not taking place for any reason, except
the willful wrongful act or omission of the organizers,
the exhibitor shall be entitled to a refund of the
participation fees paid. |
2.5. Payment of any other amounts
relating to services or facilities as required shall be
paid on demand (see 13 services and facilities).
2.6. The Organizers retain
alien on all goods in respect of unpaid accounts and reserve
the right to prevent removal of goods until a settlement
is made and to store them at the Exhibitors risk and charge.

3. CATEGORY OF PARTICIPANTS/EXHIBITORS
|
3.1. The following exhibitors
can participate in the event: Manufacturers, agents, merchants,
representatives, service organizations, financial institutions,
transporters, caterers and governments.
3.2. In terms of exhibit profile,
products of the following economic sub sectors can be exhibited
at the Fair:

Mining – Minerals and gemstones
- Agriculture – Machinery chemicals and products,
including livestock
- Hospitality and tourism
- Industry – Manufacturing and Engineering
- Electrical Engineering – Electronics and Telecommunications
- Packaging and Material Handling
- Chemicals and Petrochemicals
- Synthetic Materials – Plastics and Rubber
- Food and Beverages
- Textiles and Clothing
- Information Technology and Computer Systems
- Transport and Automobiles
- Local authorities

4. IMMIGRATIONS
AND FOREIGN EXHIBITS – IMPORTATION / EXPORTATION |
4.1. Immigration Regulations
a) Foreign exhibitors are all required to obtain Visas well
in advance prior to travel.
b)All Foreign exhibitors must inquire at the Zambia Mission
in their respective country of residence to ascertain if
they require a Visa before traveling. Citizenship of a Commonwealth
country does not confer automatic authority of a foreign
national to enter Zambia without a Visa.
4.2.
Importation
a) The whole of ZITF Area is regarded as Bonded Warehouse
for Customs purposes, by virtue of being an International
Trade Fair Exhibiting Area.
b) Exhibits shall not be allowed in or out of the Fair Area
until they have been properly counted and checked by Customs
Officials.
c) Foreign exhibitors shall consign their exhibits to:

d) Exhibits shall be properly packed, sealed and clearly
labeled:

e) Consignments of exhibits shall be accompanied by suppliers’
invoices, delivery notes and a complete inventory of contents.
4.3.
Re-Exportation
a) Exhibits that are not sold as test / trial sales during
the Fair are subject to re-export to the Country of origin
or such destination outside Zambia at the discretion of
the exhibitors.
b) After the close of the Fair, all exhibits shall be checked
by Customs Officials who will take stock of the balance
of exhibits against the original list recorded at the beginning
of the Fair.
c) The balance of the exhibits shall be properly packed
and re-exported within 60 days after the close of the Fair,
failure to do so will result in the exhibits being disposed
of by Customs Authorities.
d) Management of the foreign exchange market in Zambia was
completely liberalized with effect from 30 November 1994.
e) This in effect means all applications for imports under
whichever category exhibits fall, shall be received and
processed by the Commercial Banks which will source the
required foreign exchange from the Inter-Bank Market.
f) The Commercial Banks shall base their decision to externalize
exhibitors’ sale proceeds on production of the following
documents:
-
Invoices
and Certificate of value of exports to Zambia
- Removal of goods In-Bond (RIB) on first importation
- Bill of Entry for clearing of goods
- Customs Duty and Tax Receipts
- Confirmation Letter of Participation from Trade
Fair / Show Management. |

5.
SALE OF FOREIGN EXHIBITS |
Sale
of exhibits is acceptable subject to the following conditions:
5.1. Permission to sell
Prior permission should be sought from the Fair Management
to sell any exhibits in advance of the goods being dispatched.
This request must be in writing, indicating products, c.i.f.
value and proposed selling price.
5.2.
Quantities
All exhibits shall be in quantities reasonable enough to
justify display and test sales only. In case of plant and
machinery only one unit and the accessories of a particular
model will be accepted.
5.3.
Removal
All exhibits sold, shall not be removed from display until
after close of the Fair.
5.4.
Late arrival of exhibits
Exhibits, which arrive after close of the Fair shall not
be sold and the exhibitor shall undertake to re-export them
out of the country within 60 days, failure to do so will
result in the exhibits being disposed off by Customs Authorities.
5.5.
Zambia Revenue Authority Duties and Value Added Tax (VAT)
Only exhibits, which are on the premises, will be cleared.
Customs Duty and VAT will be levied and paid on all exhibits
sold. Customs officials will advise on applicable tariffs.

5.6.
Remittance of sale proceeds
Exhibits that are not sold as test / trial sales during
the Fair are subject to re-export to the Country of origin

5.7.
Banking
Banking may be transacted with any Commercial Bank.

6.
STAND DIRECTORS |
Representatives
or Stand Directors of exhibiting firms shall register their
names and designations with the Management of the Fair before
the opening of the event. These representatives will be
answerable to the Management on all aspects of their participation.

7. EXHIBITION
STANDS |
7.1.
Availability
Indoor and outdoor space is allocated upon application.
7.2.
Rates
The Trade Fair Management reserves the right to allocate
space in accordance with order of applications received,
however, exhibitors who rented stands in the preceding year
will receive priority to retain the same stands if they
so wish. Current rates for hiring exhibition space are listed
in the application form. Leases will be signed upon allocation
of stands and/or spaces.
7.3.
Subletting
Subletting of stand is not allowed without the prior consent
of the Fair Management.
7.4.
Erection and dismantling
Stands must be of an acceptable standard. The Management
may order that a stand be dismantled if the structure mars
the general layout and outlook of the exhibition and compensation
will be made for construction expenses in such cases. Temporary
stands must be dismantled and removed within one month after
close of exhibition. Thereafter, the Management reserves
the right to dismantle the stand and confiscate the material.
7.5.
Completion time
Construction of stands must be completed, at the very latest,
one week before the opening of the exhibition.
7.6.
Decorations/Insurance
Stands must be decorated and the premises kept clean, both
inside and outside, throughout the duration of the exhibition.
Exhibitors owning permanent stands must ensure that these
are under good repair throughout the year. Insurance cover
against loss or damage of such property is recommended,
as the Trade Fair Management is not liable for any loss
or damage. In no circumstance shall any exhibitor have or
permit naked lights, explosives or articles of dangerous
inflammable objects. The stands must conform to byelaws
including fire precautions.
7.7.
Trade Fair Property
Persons causing damage to Trade Fair property shall be called
upon to compensate for losses arising from such damage.
7.8.
Inventory
Exhibitors shall sign for the inventory of electrical, plumbing
and other fittings in the stand(s) prior to occupation and
when vacating the stand(s). Any loss or damage shall be
made good by the exhibitor concerned.

8.
DISPLAY OF PRODUCTS |
8.1.
Awards
All exhibits shall be displayed in the most effective and
impressive manner. Various prizes are awarded each year
for presentation, display and content of stands, for those
exhibitors who participate in Competitions, details of which
will be made available after confirmation of participation.
8.2.
Secondhand Goods/Vending
Display of secondhand goods is not allowed. Vending in the
streets of the Fair is not allowed except in designated
places ONLY.
8.3.
Removal of exhibits
Exhibits shall not be removed from stands till close of
the exhibition. Where these have been sold, delivery shall
only be effected after the exhibition is over.
8.4.
Manning of Stands.
Stands must be manned throughout the Fair opening hours.
Competent and knowledgeable marketing executives should
be readily available at the stands to ensure success in
business transactions.
8.5.
Restricted Display
Material or publications which contravene the laws of the
Republic of Zambia are not allowed on the Fair premises.
Exhibitors and visitors and their staff are expected to
avoid any conduct or activities, which are conducive to
disorder.
Failure to comply with these requirements will lead to the
expulsion of the exhibitor/visitor, and further entry will
not be allowed.

9.SERVICES
AND FACILITIES |
Fair
Management will endeavor to provide or arrange for supply
of the following services at charges as shall be determined
during each Fair.
-
Electricity and water supply, if above normal requirements
- Communications i.e. telecommunication facilities
- Hired Staff – interpreters, translators, cleaners,
security guards, etc.
- Furniture, refrigerators, flower, carpets, etc.
- Storage facilities
- Secretarial services. |

10.PUBLIC
AND PRIVATE TRANSPORT |
Several private car Hire
Firms, taxi and private bus operators are based in Ndola.
Hotels and Fair Management will assist in securing these
services, on request.
|
11.PARKING OF VECHILES
|
11.1. Suitable parking places
for motor vehicles are available and there are instructions/stickers
indicating the type of parking an exhibitor/visitor is entitled
to.
11.2. No vehicles are allowed
within the Fair grounds from time of opening to closing.
Vehicles delivering replenishment stock must do so between
05.00 to 08.30 hours and 18.00 to 21.00 hours.

12.
THE ZITF OFFICIAL CATALOGUE |
12.1. Each Exhibitor’s address
and product (s)/Services are included in the Catalogue.
The classified products index divided into different categories
will list all your products as well as your Company’s name
and contact details. Exhibitors wishing to advertise in
the official ZITF catalogue may do so at a fee. A Full colour
A4 page cost U$ 750.Advert/Artwork should be submitted to
us not later than 16th may 2008
12.2. Every exhibitor is entitled
to one complimentary official catalogue. Extra copies may
be obtained from the Management at a nominal charge.
12.3. ZITF reserves the sole
right of issuing invitations and tickets of admission to
all official functions.

13.
ENTRY BADGES AND TICKETS. |
Entry
badges are classified into various categories. These badges
may be obtained from the management of the Fair.
Tickets will be sold to the public
at the Gates throughout the Fair period.
|
14.
CONFERENCE CENTRE |
Conference
facilities can be made available to enable the holding of
the meetings, seminars, film shows etc. Request for the
use of these facilities should be communicated to the Management
of the Fair at least 48 hours before the required time.
|
15.
RESTAURANTS |
Catering
services are available and these are located in various
areas as indicated in the official catalogue.
|
16.
TOILETS |
Public
and fee paying toilet facilities are available throughout
the Fair area. Many stands have their own private facilities.
Health regulations require that these are properly used
and kept clean.
|
17.
OPENING HOURS |
The
Fair is open from 09.00 to 18.00 hours daily.
Government offices and business firms in Ndola are open
from 08.00 to 17.00 hours – Monday to Friday, with lunch
break between 13.00 and 14.00 hours. All are closed on Sundays
and Public Holidays.
|
18.
BANKING |
Banks
in Ndola operate from 08.15 to 14.30 hours. Monday to Friday
and from 08.30 hours to 11.00 hours every first and last
Saturday of the month. All banks are closed on Sundays and
Public Holidays, except for those operating in the Fair
Grounds during the Fair. These banks are authorized to transact
deposits, withdrawals and sales proceeds externalization.

19.
TELEPHONES, TELEXES, FAXES AND E-MAIL |
The
Zambia Telecommunication Corporation and private service
providers provide these services at their stands within
in the show grounds. There are also GSM mobile phone service
providers namely: Cell Z, MTN Zambia and Celtel.

20.
MEDICAL FACILITIES |
First
Aid Services are provided by the Ministry of Health at their
stand and also at the Zambia Red Cross stand. Serious health
problems shall be referred to Ndola Central Hospital, a
few kilometers away. |
